Archiving users
Once a user's account has been archived, they cannot log in and track time. However, the company owner, company admin, user admin, and user manager can still access historical data in reports and exports, because this data is saved and stored in the cloud.
An archived member won’t be visible in the Team members section. You can either add a different user in their place or move your pricing plan to a lower tier. Read how to do that here.
Deleting users
Deleting a user will remove them completely from DeskTime.
Any data tracked by the user, including screenshots, will also be deleted.
This may affect the summary and metric data for your teams, which is why we recommend using this option only if you're certain that the user will never need to track time in your organisation again, and if you won't need to view their data in regular reports as you did while they were active.
Note! After 30 days, we permanently delete user data from our system.
Restoring users
An archived user can be restored at any time.
To restore a deleted user and rejoin them to the team, they must be invited again.
To delete, archive, or restore users, go to Settings → Team members, choose the member you want to delete, archive, or restore, click on the dotted line → choose the action.
You can also delete, archive, restore, or resend an invitation by ticking the checkbox of the member of your choice and clicking on one of the given options on the black bar above the table.
