The Reports section gives you a clear, at-a-glance view of how your team works. It brings your key productivity insights together on one page, so you can spot trends, celebrate top performers, and see where someone might need a hand.
Everything lives on a single page made of widgets. Pick a team and a time period at the top, and every widget updates to match.
Below is an overview of each widget, how to use the filters, and what each user role can see.
Filters: choose your team and period
Use the two filters at the top of the page to decide what data you see.
Members: Choose the team you'd like to review. You can select one team at a time, since app and website productivity settings can differ between teams. Employees see only their own data, so this filter doesn't appear for them.
Period: Click the date in the top-right corner to open a calendar. Then pick the date range you'd like to review - anything from a single day up to 3 months. Use the arrows next to the date to move back or forward in time. Need a longer period? Exports will provide you with more data.
Team highlights
At the top of the page, three summary cards show your team's standouts for the selected period:
- Most productive: the team member with the highest share of productive time, shown with a visual progress gauge.
- Least productive: the team member with the lowest share of productive time - a helpful signal that someone may need support.
- Most effective: the team member who completed the most productive hours compared to their daily target. Effectiveness can go above 100%.
Each card also shows a Last week figure, so you can see how that person did the week before - no matter which period you've selected.
Want to see beyond the top spot? Click See more employees beneath any card to open Employee rankings:
- Switch between the Most productive, Least productive, and Most effective tabs.
- See each team member's Productivity, how it changed vs last week, and their total DeskTime time.
- Click Show all employees to see your whole team, or Show less to collapse the list.
- Click a team member's name to open their personal dashboard.
Apps & websites
This widget shows which apps and websites take up the most of your team's time.
- Category views: Switch between the Unproductive, Productive, and Neutral tabs to see what's driving your team's output. The Productive tab opens first.
- Top apps: Each tab shows the top 5 apps and websites, plus the total time for that category. Click See full list to expand the widget and see every app. Click Show less to go back.
- Team member breakdown: Click the ^ arrow next to an app to see how much time each team member spent on it.
- Time period comparison: Click the ^ arrow next to a team member's name to compare their time on that app across other periods — for example, Yesterday, Last week, This month, and This year. Hover over the info icon next to a period for more details.
Good to know: If an app's productivity level changed during the selected period, it appears in both categories — split by the time it was productive and the time it was unproductive. Learn more about changing an app's productivity level.
Extra hours
See how much your team works outside their regular schedule or shifts.
- Time distribution: See the time spent Before work and After work, plus the Total extra hours.
- Activity context: See how much of that extra time was Offline time, Private time, or Projects time.
- Team member breakdown: See each team member's extra hours, split into before and after work.
- Apps & websites used during extra hours: Click View all employees and app activity to expand the widget and see which apps and websites were used outside working hours. Filter the list by All, Productive, Unproductive, or Neutral.
Note: Extra hours are counted only when a team has set working hours or assigned shifts in Work schedules. If a team uses Flexible work hours without shifts, this widget won't show any data.
Projects & tasks
Track your projects, the time spent on them, and how efficiently work gets done — all in one place.
- Key metrics: Four summary cards show the total Projects time, the number of Projects (including how many are active), Productivity compared to last week, and Costs.
- Project table: Search, sort, and review each project by tracked time, productivity, task progress, and connected integrations. Click a project to see its tasks and how time was split between them.
If no project time was tracked during the selected period, you'll see No project activity here yet. The widget fills in as soon as there's project time to show.
Who sees what
The Reports section adapts to each user's role:
| Role | What they see |
| Company Owner, Company Administrator | The whole company — every department, team, and team member. Review company-wide productivity trends, total extra hours, and all company projects. |
| User Administrator, User Manager | The teams and team members they manage. Track their team's app usage, after-hours work, and project hours. |
| Employee | Their own stats only. Review their own work patterns, productivity, tasks, and extra hours in Apps & websites, Extra hours, and Projects & tasks. |
Team highlights and Employee rankings compare team members, so they're available to Company Owners, Company Administrators, User Administrators, and User Managers.
Good to know
- Data updates: Each widget refreshes on its own schedule. Projects & tasks update live, Extra hours update every 15 minutes, and Apps & websites update every hour. Your selected filters stay in place while data refreshes.
- Numbers look different in another section? Since sections refresh at different times, Reports may briefly show different numbers than places like MyDeskTime. They'll line up once the next refresh is done.
- Time format: Reports show longer times in days, hours, and minutes (for example, 13d 10h 5m), so they're easy to read at a glance. Other sections use hours and minutes.
- Looking for late, absence, offline, or DeskTime time? You'll find these on the Dashboard and on each team member's MyDeskTime page.
- Time zones: Reports show times in your own time zone, even if the team member you're viewing is in a different one.
- Archived or deleted users: If someone was archived or deleted during the selected period, you'll still see the data from the time they were active.
- Showing or hiding Reports: Admins can turn the Reports section on or off for a role with the Show reports option under Account > Teams > Team members > Sidebar customization.
- Hide Owner: If Hide Owner is turned on, the Company Owner's data won't appear in reports.
Widget options
Click the three dots in the corner of a widget to see more options:

- Open employee's MyDeskTime: Go to that team member's personal dashboard. (Team highlights cards)
- Learn more: Open a quick, one-line explanation of what the card shows. (Team highlights cards)
